Privacy Policy

Draft: this policy is being reviewed by a lawyer before the competition platform is launched. It already describes what the site does today.

In short

  • The calculator, dive tables and dive-sheet checker work without an account and without sending what you type to us.
  • With an account we keep what is needed to enter divers in competitions and run them: names, dates of birth, dive sheets and scores.
  • Competition start lists and results are public, as in any sport. Search engines are asked not to index them.
  • No advertising, no selling of data, no trackers or analytics. Emails come from our own server.
  • You can download all your data or delete your account yourself, on your account page.

Without an account

The DD calculator, dive tables and dive-sheet checker run in your browser: what you type is not sent to us or stored by us (a dive sheet you are checking is kept only in your own browser). Like every website, our server briefly logs each request (IP address, page and browser) to keep the site secure and working.

What we keep when you use an account, and why

  • Your account: name, email address and a one-way hash of your password (we can never see or recover the password). To sign you in and email you about your account.
  • Sign-in sessions: the browser and IP address of each session and when it was last used. To keep your account secure and let you stay signed in.
  • Diver profiles you add for yourself, your child or the divers you coach: name, date of birth, whether they compete in women's/girls' or men's/boys' events, and optionally club and federation ID. The date of birth decides age-group eligibility (World Aquatics counts age on 31 December of the competition year).
  • Contact and school details of a diver: phone, email, school or college, district and state; the parent or guardian's and coach's names and phone numbers; and the boards the diver competes from. To reach the right people and show only the events that fit.
  • Emergency and medical information: an emergency contact, blood group, and any allergies, medical conditions or medicines you choose to give. Only for first aid and emergencies at competitions.
  • Consent for divers under 18: the name of the parent or guardian who gave consent, and when.
  • Competition entries and Statements of Dives: the dives, the name typed as the signature, the Referee's notes and decisions.
  • Competition results: diving order, every judge's award for every dive, points, placings, and Referee decisions such as a failed dive.
  • Officials: organisers, referees and judges are linked to their competitions; judges' names (as entered by the organisers) appear on official results.
  • A security and activity log of sign-ins and changes (who, what, when, from which IP address), so that mistakes and misuse can be traced and results can be checked in an appeal.

Who sees it

  • You, and the other accounts that manage the same diver (for example a parent and a coach).
  • When a diver is entered in a competition: that competition's organisers, referees and judges see the diver's details and dive sheets. Emergency and medical information is shown only to the organisers and referees, on a confidential first-aid sheet, and every time it is opened is recorded.
  • Dive sheet drafts are seen only by the accounts that manage the diver, until submitted.
  • Everyone: once a competition is published, its start lists, live scores, results (name, club, every award and score) and records are public, as is usual in sport. Dates of birth, contact details, emergency and medical information, and dive sheets are never public.
  • The site administrator, to run the service and help with problems.
  • Nobody else. We don't sell or rent data, show advertising, or use third-party trackers or analytics. The site loads nothing from other companies' servers.

Children

A diver under 18 can only be added with the consent of a parent or lawful guardian, recorded with their name and the date. A parent or guardian can see, download, correct or delete the child's profile at any time. We don't track children's behaviour or show them advertising. Results of competitions a child takes part in are public like everyone else's; write to us if there is a reason a child's name should not be shown.

How long we keep it

Account (name, email, password hash)Until you delete the account. Accounts never confirmed are deleted after 30 days if they hold nothing.

When you delete your account, its diver profiles that no one else manages are deleted too, and their entries in upcoming competitions are withdrawn. Results of competitions already held stay in the official record.

Where it is stored and how it is protected

On a server rented from our hosting provider, reached only over encrypted connections (HTTPS). Passwords are stored only as one-way hashes, each app on the server has its own database login, and access is limited to the site administrator. Backups are encrypted before they leave the server. If a breach affecting your data ever happens, we will tell you and the authorities as the law requires.

Your rights

  • See your data: Download my data on your account page gives you everything we hold about your account and the divers you manage.
  • Correct it: edit your name and your divers on the account page; for anything else, write to us.
  • Delete it, or withdraw consent: delete a diver profile, or your whole account with Delete my account.
  • Nominate someone to exercise these rights for you if you die or become unable to: write to us.
  • Complain: write to aqua26@gmail.com; we aim to reply within 30 days. If you are not satisfied, you can complain to the Data Protection Board of India.

Cookies and storage in your browser

One cookie keeps you signed in (ddc_session); judges' phones get one for their seat (ddc_seat). Your browser also keeps dive sheets you are checking and, on a judge's phone, awards waiting to be sent. Nothing is used for tracking or advertising.

The app

The DiveDay app is installed through Google Play, which processes data under Google's own terms and privacy policy.

Changes

We will update the date above when this policy changes, and tell account holders by email about significant changes.
